Outlook for Mac sync fixes

Unfortunately, there is still no time-based sync slider (e.g., “Mail to keep offline” for 1 year, 6 months, etc.) in Outlook for Mac — neither in the classic version nor in the “New Outlook” for Mac. This has been a top user complaint for years, and Microsoft has not added it despite repeated feedback.

  • Classic Outlook for Mac (version 16.x): Only offers “Download headers only” in Account > Advanced.
  • New Outlook for Mac (the modern redesign, now the default): Behaves more like the web version (Outlook on the web). It downloads a limited amount initially (often ~3–12 months depending on mailbox size and activity), but there is no user-controllable setting to force “only the last year” or any specific period. Here are the most effective ways to reduce local storage usage and avoid downloading your entire multi-year mailbox:

  1. Switch to/use the New Outlook for Mac (Recommended for most users)
    • It automatically limits initial download (many users report only 6–18 months locally at first).
    • Older items appear as you scroll down or search — they download only when needed.
    • How to switch (if you’re still on classic):
      • Open Outlook → Top menu → Help → “Try New Outlook” (toggle).
    • Pros: Much smaller local cache, faster, modern UI.
    • Cons: Some missing features (e.g., certain add-ins), but improving rapidly in 2025 updates.
  2. Enable “Download headers only” (Classic Outlook only)
